At Shared Wellness, we believe the best events are built through collaboration, respect, and community. These guidelines are intended to create a positive experience for vendors, attendees, and organizers alike. We appreciate your partnership in helping create a welcoming, safe, and successful event for everyone.

By purchasing a vendor space, you agree to the following terms and conditions:

1. Vendor Placement & Space Assignment

Vendors select their preferred space at the time of registration. Shared Wellness reserves the right to adjust vendor placement, including reassignment to a comparable space of equal value, in order to support event flow, attendee experience, accessibility, safety, or balanced vendor distribution.

Shared Wellness events may include multiple vendors offering similar or overlapping products, services, or modalities. Exclusivity within a category is not guaranteed unless explicitly agreed upon in writing prior to registration.

Event layouts, floor plans, and booth locations are subject to change if necessary to accommodate venue operations or event needs.

2. Setup & Breakdown

Setup must be completed during designated vendor setup hours. All vendors must be fully set up before event doors open to attendees. Early breakdown is not permitted unless approved by event management.

Vendors are responsible for leaving their space clean and free of debris at the conclusion of the event.

3. Space Guidelines

Vendors must remain within their assigned space boundaries. Aisles, doorways, hallways, and emergency exits must remain clear at all times.

Only products, services, or activities consistent with the vendor registration may be sold, promoted, or demonstrated. Subletting, sharing, or transferring vendor spaces without prior approval is prohibited.

4. Products, Services & Vendor Responsibility

Vendors are solely responsible for ensuring they possess any licenses, certifications, permits, registrations, insurance, or approvals required for the products, services, demonstrations, food sales, or professional practices they provide.

All vendors are responsible for complying with applicable local, state, and federal laws and regulations. Vendors are solely responsible for the accuracy of any claims, representations, demonstrations, or information provided regarding their products or services.

Shared Wellness reserves the right to prohibit the sale, promotion, or demonstration of items, services, or activities deemed inappropriate, unsafe, disruptive, or inconsistent with the nature of the event. Illegal substances, weapons, or explicit materials are prohibited.

5. Conduct & Professionalism

Vendors must conduct themselves in a respectful and professional manner toward attendees, staff, volunteers, and fellow vendors.

Aggressive sales tactics, harassment, discriminatory behavior, or disparaging remarks regarding other vendors or event organizers will not be tolerated.

Shared Wellness vendor events are substance-free unless otherwise specifically approved in writing by event management.

Vendors planning to use music, amplified sound, demonstrations, or other activities that may generate noise are encouraged to reserve a private room or designated demonstration space when available. Shared Wellness reserves the right to request that sound levels be reduced or activities modified if they interfere with neighboring vendors or the attendee experience.

6. Insurance, Liability & Hold Harmless Agreement

Vendors assume full responsibility for their products, services, equipment, displays, demonstrations, and personal property. Shared Wellness is not responsible for lost, stolen, or damaged items.

Vendors are responsible for obtaining any insurance they deem appropriate for participation. Shared Wellness does not provide insurance coverage for vendors.

Shared Wellness does not endorse, guarantee, or assume responsibility for any vendor products, services, advice, treatments, demonstrations, or claims made during the event. Any transactions, services, or interactions between vendors and attendees are solely the responsibility of the vendor and participant.

Vendors agree to release, indemnify, and hold harmless Shared Wellness, its staff, volunteers, affiliates, and venue representatives from any liability, damages, claims, injuries, losses, or expenses arising from participation in the event.

7. Electricity & Equipment

Electricity availability is limited and must be requested in advance when applicable. Vendors are responsible for providing their own extension cords, surge protectors, displays, tables, equipment, and setup materials unless otherwise specified.

All electrical equipment must be safe, properly maintained, and suitable for public event use.

8. Marketing & Photography

By participating in the event, vendors acknowledge that event photographs or video may include their booth, products, staff, or customers and grant Shared Wellness permission to use such media for promotional, educational, or marketing purposes.

Vendors are encouraged to actively promote the event through their websites, social media, email lists, and customer networks to help maximize attendance and create a successful event for everyone.

9. Cancellation & Refund Policy

Vendor fees are non-refundable unless the event is canceled by Shared Wellness. In the event of cancellation by organizers, vendors may receive either a full refund or credit toward a future event.

No refunds will be issued for vendor cancellations due to weather, illness, travel issues, scheduling conflicts, or other personal circumstances unless the event itself is canceled by Shared Wellness.

Exceptions or special circumstances may be considered at the sole discretion of event management.

10. Enforcement & Final Authority

Failure to comply with these policies may result in removal from the event without refund.

Shared Wellness reserves the right to make final decisions regarding vendor participation, placement, safety concerns, event operations, and policy enforcement.

By completing your vendor space purchase, you acknowledge that you have read, understood, and agree to these Vendor Terms & Conditions.
